Getting set up

We do most of this with you at handover. Here’s the full list, so you know where everything lives.

  1. 1 Add your products

Add each product with a price, photos, category and how many you have in stock. Leave anything not ready as unavailable.

    Where: App → Products

  2. 2 Add options such as size or colour

If a product comes in different versions, add its options with their own prices and stock.

    Where: Advanced → Products

  3. 3 Set up delivery

Turn on UK delivery and set your postage charge, any free-delivery amount and how quickly you dispatch. Collection is set on the same screen.

Where: Advanced → Products → Checkout Controls

  4. 4 Connect card payments

Link your existing Stripe account or create a new one. Until this is done, customers can browse but can’t buy.

    Where: Advanced → Card payments

  5. 5 Choose your shop layout

Pick a list or a grid and preview it on a computer and a phone before saving.

Where: App → Products → Shop appearance

  6. 6 Turn on order alerts

On your phone, switch on alerts so you hear about every new order, and send yourself a test.

Where: App → More → Order alerts

  7. 7 Create a launch offer (optional)

Free delivery or 10% off a first order is a simple way to get your first online customers.

Where: App → More → Promotions

  8. 8 Place a test order

Buy something from your own shop, then pack, dispatch and complete it so you know the whole journey.

    Where: App → Orders

How it works

Answers to the questions people ask most, grouped by screen. Tap a topic to see them.

Orders, packing and dispatch 4 questions
Where do new orders appear?
On the Orders screen in the app. Tap an order to see the items, options, delivery address and notes.
What do I do with an order?
Tap Start packing, then Mark dispatched once it’s posted (add the tracking number if you have one), then Complete. Collection orders go from Packing straight to Complete when they’re picked up.
Does changing an order’s status take or refund money?
No. Status changes never move money or stock. Refunds are made in your Stripe Dashboard: Advanced → Card payments → Manage Stripe takes you there.
Why can’t I see an order a customer says they placed?
The Orders screen only shows orders that have been paid. If a customer left before paying, the order was never placed and the stock was released.
Products and stock 4 questions
How do I add a product?
App → Products → Add product. Enter the name, price, category, SKU and stock, and add up to six photos. The first photo is the main one.
How does stock work?
Stock goes down when an order is paid. While someone is at checkout, their items are held for them so nobody else can buy the last one.
How do I sell sizes or colours?
Add options to the product in Advanced → Products. Each option can have its own price and stock.
How do I take a product off sale?
Mark it unavailable in the Products screen. It disappears from your shop until you switch it back on.
Delivery and collection 3 questions
How is postage charged?
A flat UK postage charge per order, set in Advanced → Products → Checkout Controls. You can make delivery free above a basket value.
Can customers collect instead?
Yes. Switch on collection in the same place and customers choose at checkout.
Do customers know when to expect it?
Set “Dispatch within” to a number of working days and customers see it before they pay.
Payments and fees 4 questions
How do customers pay?
By card through Stripe. The money goes into your own Stripe account and Stripe pays it out to your bank.
What does it cost?
SiteSoup takes 1.5% of each online payment, and Stripe charges its card fee. By default the customer pays a small service fee that covers both, so you receive the full amount. You can turn the service fee off and absorb the costs instead.
I already have Stripe. Can I use it?
Yes. Advanced → Card payments → Link existing Stripe account. Or create a new one there in a few minutes.
How do I give a refund?
Refunds are made in your Stripe Dashboard: Advanced → Card payments → Manage Stripe takes you there. SiteSoup records the refund on the order automatically.
Promotions and offer codes 4 questions
What kinds of promotion can I run?
Percentage or money off, buy one get one free, 3 for 2, deals on a category, free delivery, happy hours or flash sales, first-order offers, secret codes and limited offers for the first few customers.
Do customers need a code?
Only if you want them to. Without a code, the best automatic promotion is applied at checkout. With a code, customers type it in and are told straight away if it works, or why not.
Can I limit when and how often an offer is used?
Yes: start and end dates, days of the week, a daily time window, a minimum spend, new customers only, uses per customer and a total limit.
Can a customer use two offers at once?
No. One promotion or loyalty reward applies per order, so your margins stay predictable.
Alerts on your phone 3 questions
How do I get alerts for new orders?
In the app, open More → Alerts on this device, switch them on and send yourself a test. Do this on every phone or tablet that should ping.
Why didn’t my phone ping?
Alerts are set per device and last up to 30 days between visits, so open the alerts screen again to renew them. Check that notifications are allowed for your browser or the installed app, and that the phone isn’t on Do Not Disturb.
Do alerts show customer details on my lock screen?
No. The alert says something new has arrived; tapping it opens the app, where you sign in as normal.
Your team and logins 3 questions
How do I give someone a login?
Advanced → Team management → Users → Add Staff. They get an email with a link to set their own password, then can use the app on their own phone.
What can each person do?
Choose a role when you add them. Managers look after orders, the team and settings. Staff look after service and orders. Billing stays with the business owner.
Can I run more than one business?
Yes. If you have more than one SiteSoup business, switch between them from More in the app.
Your website 5 questions
How do I change wording or photos on my site?
Advanced → Website Settings. Pick the page, then edit it in the visual editor or describe the change and let AI suggest it. You see the result before saving, and earlier versions can be restored.
How do I change my logo, colours or contact details?
Also in Advanced → Website Settings. Your menu, shop or booking pages pick up the same branding automatically.
Can I add a new page or change the navigation?
Just ask us. New pages and navigation changes are done for you, so a finished site can’t be broken by accident.
How do I connect my own domain?
Advanced → Website Settings shows your domain and the DNS records to add. We’re happy to do it with you, and HTTPS is set up automatically once it’s connected.
Where are messages from my contact forms?
Every enquiry is saved in your dashboard, and you get one summary email the next morning when new ones arrive.
