Site Soup

SiteSoup for Cafés, pubs, restaurants and takeaways

Your menu, your orders, your customers. No commission.

Customers order and pay from your own website: at the table, for collection or for delivery. Orders arrive on your phone, tablet or kitchen screen, and the full order value is yours.

What you get

Order at the table

Customers scan a QR code, choose their table, order and pay from their phone. No waiting to catch someone’s eye.

Collection and delivery

Collection as soon as it’s ready or at a chosen time, and local delivery with your own area, minimum order and fee.

Orders straight to you

Getting set up

We do most of this with you at handover. Here’s the full list, so you know where everything lives.

  1. 1 Check your menu

Add or tidy up your dishes, prices, photos, allergens and choices. Mark anything you don’t serve every day as sold out.

    Where: App → Menu

  2. 2 Choose how customers can order

Switch on table service, collection, collection times, local delivery or the virtual queue. Set your delivery area, minimum order and fee if you deliver.

Where: App → More → Ordering settings

  3. 3 Set your hours and kitchen limits

Set your ordering hours, how long food takes and, if you like, a limit on how many orders can be open at once.

Where: App → More → Ordering settings

  4. 4 Connect card payments

Link your existing Stripe account or create a new one. Until this is done, customers can see your menu but can’t order online.

    Where: Advanced → Card payments

  5. 5 Turn on order alerts

On every phone or tablet that should ping for new orders, switch on alerts and send yourself a test.

Where: App → More → Order alerts

  6. 6 Add your team and devices

Invite managers and staff with their own logins, and add a kitchen screen or tablet login for shared devices.

Where: Advanced → Team management → Users

  7. 7 Set up your loyalty card and a first offer

Choose how many orders earn a reward and what the reward is. A simple first-order offer is a good way to get people trying online ordering.

Where: App → More → Loyalty card and Promotions

  8. 8 Put your QR codes out

Print your menu QR code for tables, the counter and the window. We can also supply table-specific QR codes and tap-to-order NFC tags.

Where: Advanced → Menu → Get QR Code

  9. 9 Place a test order

Order something from your own website, then move it through New, Cooking and Ready so everyone knows what to expect.

    Where: App → Orders

How it works

Answers to the questions people ask most, grouped by screen. Tap a topic to see them.

Taking and managing orders 5 questions
Where do new orders appear?
On the Orders screen in the app, newest first, under New. Tap the big button to move an order to Cooking, then Ready. Ready completes the order and, for queue orders, tells the customer.
How will I know an order has come in?
Switch on order alerts on each phone or tablet (More → Order alerts) and you’ll get a notification even when the app is closed, plus a reminder if an order is still New after two minutes. The live screen also plays a sound: browsers need one tap on the screen after it’s opened before sound can play.
How do I take an order at the counter or over the phone?
Orders → Take an order. Add items, then record it as paid by cash, paid by card on your own machine, or pay later. It goes into the same list as online orders.
How do I stop online orders for a while?
Pause ordering from the Orders screen. Customers can still see the menu with your message, and you can resume with one tap.
Where are older orders?
Orders → History, with search and date filters. Full order records are in Advanced → Orders, and refunds are made in your Stripe Dashboard.
Ordering options and hours 4 questions
Which ways of ordering can I offer?
Table service, collection, collection at a chosen time, local delivery and the virtual queue. Switch on any mix under More → Ordering settings.
How does local delivery work?
Set your delivery area by postcode or distance, a minimum order and a delivery fee. Customers outside the area are told before they pay.
What is the virtual queue?
For busy events: customers order and pay, get a queue number and receive notifications on their phone when their food is nearly ready and ready. You can limit how many orders are taken every 15 minutes.
Can I stop the kitchen being overloaded?
Yes. Set a preparation time and a maximum number of open orders. When the limit is reached, customers are told the kitchen is busy and to try again shortly, until some orders are Ready.
Payments and fees 4 questions
How do customers pay?
By card through Stripe. The money goes into your own Stripe account and Stripe pays it out to your bank.
What does it cost?
SiteSoup takes 1.5% of each online payment, and Stripe charges its card fee. By default the customer pays a small service fee that covers both, so you receive the full amount. You can turn the service fee off and absorb the costs instead.
I already have Stripe. Can I use it?
Yes. Advanced → Card payments → Link existing Stripe account. Or create a new one there in a few minutes.
How do I give a refund?
Refunds are made in your Stripe Dashboard: Advanced → Card payments → Manage Stripe takes you there. SiteSoup records the refund on the order automatically.
Loyalty card 4 questions
How do customers collect stamps?
A stamp goes on the card for the order’s email or phone number when the order is marked Ready. That includes counter and table orders, so customers don’t need an account.
How do they get their reward?
When a card is full, Orders shows “Reward ready” next to that customer. Tap Give reward when you hand it over. Customers signed in to your site with a verified email can also tick “Use my reward” when they order online.
What can the reward be?
Something free that you describe, such as “a free hot drink”, a set amount off, or a percentage off.
Can I carry over paper loyalty cards?
Yes. Loyalty card → Add a card, enter their name and phone or email, and how many stamps they already have.
Promotions and offer codes 4 questions
What kinds of promotion can I run?
Percentage or money off, buy one get one free, 3 for 2, deals on a category, free delivery, happy hours or flash sales, first-order offers, secret codes and limited offers for the first few customers.
Do customers need a code?
Only if you want them to. Without a code, the best automatic promotion is applied at checkout. With a code, customers type it in and are told straight away if it works, or why not.
Can I limit when and how often an offer is used?
Yes: start and end dates, days of the week, a daily time window, a minimum spend, new customers only, uses per customer and a total limit.
Can a customer use two offers at once?
No. One promotion or loyalty reward applies per order, so your margins stay predictable.
Your team and logins 4 questions
How do I give someone a login?
Advanced → Team management → Users → Add Staff. They get an email with a link to set their own password, then can use the app on their own phone.
What can each person do?
Choose a role when you add them. Managers look after orders, the team and settings. Staff look after service and orders. Billing stays with the business owner.
What about a shared kitchen screen or tablet?
Add Device on the same screen gives a shared device its own simple login code and PIN. A kitchen device opens straight onto live orders; a tablet opens staff order taking.
Can I run more than one business?
Yes. If you have more than one SiteSoup business, switch between them from More in the app.
Your website 5 questions
How do I change wording or photos on my site?
Advanced → Website Settings. Pick the page, then edit it in the visual editor or describe the change and let AI suggest it. You see the result before saving, and earlier versions can be restored.
How do I change my logo, colours or contact details?
Also in Advanced → Website Settings. Your menu, shop or booking pages pick up the same branding automatically.
Can I add a new page or change the navigation?
Just ask us. New pages and navigation changes are done for you, so a finished site can’t be broken by accident.
How do I connect my own domain?
Advanced → Website Settings shows your domain and the DNS records to add. We’re happy to do it with you, and HTTPS is set up automatically once it’s connected.
Where are messages from my contact forms?
Every enquiry is saved in your dashboard, and you get one summary email the next morning when new ones arrive.
