How it works

Answers to the questions people ask most, grouped by screen. Tap a topic to see them.

Your calendar 4 questions
How do I see who’s coming?
Calendar shows who is arriving, leaving and staying on the chosen day, with a two-week chart underneath. Home shows today’s arrivals and departures and the next arrival.
How do I add a phone booking?
Calendar → New booking. Choose the stay, dates and guests. The price is worked out the same way as on your website, and taken dates can’t be double-booked.
How do I cancel a booking?
Open it and tap Cancel booking. The dates become free again. Cancelling never refunds automatically.
Does it sync with Airbnb or other booking sites?
Yes. Edit the stay and scroll to Sync. Copy its calendar link into Airbnb, Booking.com or Vrbo’s “import calendar” setting, and paste their “export calendar” link here. Calendars update every 30 minutes.
Stays, prices and closed dates 4 questions
How is the price worked out?
Nightly prices for each night (using any seasonal price for those dates), less any longer-stay discount, plus the cleaning fee.
How do longer-stay discounts work?
Add up to five tiers, such as 10% off 7 nights or more and 15% off 14 nights or more. The best one that applies comes off the nights, not the cleaning fee.
How do I stop bookings on certain dates?
Close them for one stay when editing it, or for every stay at once under More → Closed dates.
How do extra-guest and pet fees work?
Set how many guests the price includes and a fee per extra guest per night. If pets are welcome, add a pet fee charged once per stay. Neither gets the longer-stay discount.
Deposits and balances 4 questions
What payment options can I offer?
The full amount, deposit only, let the guest choose, or nothing online. A deposit can be a fixed amount or a percentage.
How do I collect the balance?
For online bookings, open the booking and tap Ask for balance. The guest gets an email with a secure link to pay. For phone bookings, tap Mark as paid when the money arrives.
What does it cost?
SiteSoup takes 1.5% of each online payment, and Stripe charges its card fee. By default the guest pays a small service fee that covers both. You can turn it off and absorb the costs instead.
How do I give a refund?
Refunds are made in your Stripe Dashboard: Advanced → Card payments → Manage Stripe takes you there.
Guest emails and policies 3 questions
What do guests get by email?
A confirmation with the dates, price, your cancellation policy and a link to their booking. Then an arrival email a few days before (2 unless you change it) with the address, house rules and your private arrival instructions.
Who gets the key safe code?
Only guests who have paid online, or whose booking you made or marked as paid. Pay-on-arrival bookings get it once you mark them paid.
Can guests cancel online?
No. Their booking page shows your cancellation policy and how to contact you. Cancel it from the calendar, and make any refund in Stripe.
Promotions and offer codes 5 questions
What kinds of promotion can I run?
Percentage or money off, deals on chosen services or stays, quiet-time or booking-window deals, first-booking offers, secret codes and limited offers for the first few customers.
Do customers need a code?
Only if you want them to. Without a code, the best automatic promotion is applied at checkout. With a code, customers type it in and are told straight away if it works, or why not.
Can I limit when and how often an offer is used?
Yes: start and end dates, days of the week, a daily time window, a minimum spend, new customers only, uses per customer and a total limit.
Can a customer use two offers at once?
No. One promotion or loyalty reward applies per order, so your margins stay predictable.
How do offers work with deposits?
The saving is worked out on the full price and comes off what is still owed first, so the deposit stays as you set it.
Alerts on your phone 3 questions
How do I get alerts for new bookings?
In the app, open More → Alerts on this device, switch them on and send yourself a test. Do this on every phone or tablet that should ping.
Why didn’t my phone ping?
Alerts are set per device and last up to 30 days between visits, so open the alerts screen again to renew them. Check that notifications are allowed for your browser or the installed app, and that the phone isn’t on Do Not Disturb.
Do alerts show customer details on my lock screen?
No. The alert says something new has arrived; tapping it opens the app, where you sign in as normal.
Your team and logins 3 questions
How do I give someone a login?
Advanced → Team management → Users → Add Staff. They get an email with a link to set their own password, then can use the app on their own phone.
What can each person do?
Choose a role when you add them. Managers look after orders, the team and settings. Staff look after service and orders. Billing stays with the business owner.
Can I run more than one business?
Yes. If you have more than one SiteSoup business, switch between them from More in the app.
Your website 5 questions
How do I change wording or photos on my site?
Advanced → Website Settings. Pick the page, then edit it in the visual editor or describe the change and let AI suggest it. You see the result before saving, and earlier versions can be restored.
How do I change my logo, colours or contact details?
Also in Advanced → Website Settings. Your menu, shop or booking pages pick up the same branding automatically.
Can I add a new page or change the navigation?
Just ask us. New pages and navigation changes are done for you, so a finished site can’t be broken by accident.
How do I connect my own domain?
Advanced → Website Settings shows your domain and the DNS records to add. We’re happy to do it with you, and HTTPS is set up automatically once it’s connected.
Where are messages from my contact forms?
Every enquiry is saved in your dashboard, and you get one summary email the next morning when new ones arrive.
