Site Soup

SiteSoup for Barbers, salons, beauty, trades and appointment businesses

Online booking, your diary and your team, in your pocket.

Customers book and pay from your own website, day or night. Your calendar shows the day at a glance, your whole team is covered, and a loyalty card keeps regulars coming back.

What you get

Online booking, 24/7

Customers pick a service, a day and a free time on your website, then get a confirmation and a reminder the day before.

Built for teams

Customers choose who they’d like, or anyone available. Each person has their own hours, days off and column in the diary.

Deposits, your way

Your day at a glance

Every 5th or 10th visit free, or money off. Stamps go on automatically when you mark a booking done.

Getting set up

We do most of this with you at handover. Here’s the full list, so you know where everything lives.

  1. 1 Add your services

Add each service with how long it takes and its price. Hide anything you don’t want booked online.

    Where: App → Services

  2. 2 Set your booking hours

Set your weekly hours, how far ahead people can book, any gap between appointments and your days off.

Where: App → More → Booking hours

  3. 3 Add your team

Working on your own? Skip this. Otherwise add each person, the services they do and any hours or days off of their own.

  4. 4 Choose how customers pay

Full payment, a deposit, the customer’s choice, or nothing online.

Where: App → More → Payments

  5. 5 Connect card payments

Link your existing Stripe account or create a new one. Without it, customers can only book with nothing to pay online.

  6. 6 Turn on booking alerts

Switch on alerts on your phone so you know the moment someone books, and send yourself a test.

Where: App → More → Booking alerts

  7. 7 Check reminders and cancelling

Reminder emails go out the day before, and customers can cancel online up to 24 hours before. Change either if you like.

Where: App → More → Booking hours → Reminders and cancelling

  8. 8 Set up your loyalty card

Choose how many visits earn a reward and what it is. You can carry over customers’ paper cards.

Where: App → More → Loyalty card

Book an appointment on your own website and check it appears in your calendar.

How it works

Answers to the questions people ask most, grouped by screen. Tap a topic to see them.

Your calendar 5 questions
How do I see my day?
Calendar shows the day as a list. Switch to Team to see a column for each person, plus Unassigned. Use the arrows or the week strip to change day.
How do I add a phone or walk-in booking?
Calendar → New booking, or tap a free time in the Team view. Pick the service, time and person. You can book outside your normal hours, but never on top of another booking.
What do I do when someone has been?
Open the booking and tap Mark as done. That also adds their loyalty stamp. Use No-show if they didn’t turn up; you can undo either.
How do I cancel or move a booking?
Open it and tap Cancel booking to free the time, or change who it’s with. To change the time, cancel it and add a new booking. Cancelling never refunds automatically.
How do I record payment taken in the shop?
For bookings made in the app, tap Paid in person. Online bookings’ balances belong to their online order.
Booking hours and availability 5 questions
Which times can customers book?
Times inside your weekly hours, on days that aren’t blocked, within the booking horizon you set, and where someone who offers that service is free.
How do I take a day off?
Add it to Days off under Booking hours. Online booking stops for that day straight away.
Can I leave time between appointments?
Yes. Set a gap between appointments and it’s added after every booking.
Do customers get a reminder?
Yes, an email the day before with a link to manage their booking, unless they booked within the last day. Switch it off under Booking hours → Reminders and cancelling.
Can customers cancel themselves?
Yes, from the link in their emails, up to the notice you set (24 hours unless you change it). The time frees up and you get an alert. Refunds stay your decision, made in Stripe.
Your team 5 questions
Do I have to add a team?
No. With no team, your diary takes one appointment at a time, which is right for one person.
How are online bookings shared out?
Each new online booking goes to the first free person in your team order who offers that service. You can move it to someone else afterwards.
Can customers choose who they see?
Yes. When more than one person offers a service, customers choose someone or “Anyone available”. If they choose someone, they only see that person’s free times.
Can someone have different hours or a day off?
Yes. Edit them under Your team: tick “Works different hours to the business” to set their week, and add days off. Customers can’t book them outside those times; you still can from the app.
Do team members need a SiteSoup login?
No. The team list is just who customers are booked with. Give someone a login separately if they need to use the app.
Deposits and payments 3 questions
What payment options can I offer?
Pay in full, deposit only, let the customer choose between the two, or nothing online so they pay on the day. A deposit can be a fixed amount or a percentage.
What does it cost?
SiteSoup takes 1.5% of each online payment, and Stripe charges its card fee. By default the customer pays a small service fee that covers both. You can turn it off and absorb the costs instead.
How do I give a refund?
Refunds are made in your Stripe Dashboard: Advanced → Card payments → Manage Stripe takes you there. Cancelling a booking in the app frees the time but doesn’t refund.
Loyalty card 3 questions
How do customers collect stamps?
A stamp is added to the card for the booking’s email or phone number when you mark the booking done. Undoing it takes the stamp back off.
How is a reward used?
When a card is full, open their next booking and tap Use reward. It comes off what they still owe, and can be undone. Customers signed in to your site can also use it when they book online.
Can I carry over paper cards?
Yes. Loyalty card → Add a card, with their name, phone or email and the stamps they already have.
Promotions and offer codes 5 questions
What kinds of promotion can I run?
Percentage or money off, deals on chosen services or stays, quiet-time or booking-window deals, first-booking offers, secret codes and limited offers for the first few customers.
Do customers need a code?
Only if you want them to. Without a code, the best automatic promotion is applied at checkout. With a code, customers type it in and are told straight away if it works, or why not.
Can I limit when and how often an offer is used?
Yes: start and end dates, days of the week, a daily time window, a minimum spend, new customers only, uses per customer and a total limit.
Can a customer use two offers at once?
No. One promotion or loyalty reward applies per order, so your margins stay predictable.
How do offers work with deposits?
The saving is worked out on the full price and comes off what is still owed first, so the deposit stays as you set it.
Alerts on your phone 3 questions
How do I get alerts for new bookings?
In the app, open More → Alerts on this device, switch them on and send yourself a test. Do this on every phone or tablet that should ping.
Why didn’t my phone ping?
Alerts are set per device and last up to 30 days between visits, so open the alerts screen again to renew them. Check that notifications are allowed for your browser or the installed app, and that the phone isn’t on Do Not Disturb.
Do alerts show customer details on my lock screen?
No. The alert says something new has arrived; tapping it opens the app, where you sign in as normal.
Your team and logins 3 questions
How do I give someone a login?
Advanced → Team management → Users → Add Staff. They get an email with a link to set their own password, then can use the app on their own phone.
What can each person do?
Choose a role when you add them. Managers look after orders, the team and settings. Staff look after service and orders. Billing stays with the business owner.
Can I run more than one business?
Yes. If you have more than one SiteSoup business, switch between them from More in the app.
Your website 5 questions
How do I change wording or photos on my site?
Advanced → Website Settings. Pick the page, then edit it in the visual editor or describe the change and let AI suggest it. You see the result before saving, and earlier versions can be restored.
How do I change my logo, colours or contact details?
Also in Advanced → Website Settings. Your menu, shop or booking pages pick up the same branding automatically.
Can I add a new page or change the navigation?
Just ask us. New pages and navigation changes are done for you, so a finished site can’t be broken by accident.
How do I connect my own domain?
Advanced → Website Settings shows your domain and the DNS records to add. We’re happy to do it with you, and HTTPS is set up automatically once it’s connected.
Where are messages from my contact forms?
Every enquiry is saved in your dashboard, and you get one summary email the next morning when new ones arrive.
